WhatsApp orders get lost for three reasons: they arrive incomplete, they get buried among other chats, and nobody writes them down in one place. The fix starts for free, with WhatsApp Business tools, and only then do you need something more.
Where an order gets lost
- The back-and-forth: "how much is it?", "what size?", "for when?". Every question is one more message and one more chance for the customer to give up.
- The buried chat: an order that came in at 9 p.m. ends up under twenty conversations the next day.
- Memory: if orders live only in the chat, on delivery day you have to hunt them down one by one.
What you can organize for free with WhatsApp Business
The WhatsApp Business app is free and comes with tools many businesses don't use. According to guides on the app:
- Catalog: up to 500 products with photo, price and description, visible from your profile.
- Quick replies: up to 50 saved messages you pull up by typing "/". Useful for prices, hours and payment methods.
- Labels: to mark chats as "new order", "paid" or "delivered". Only you see them.
- Away message: replies automatically outside your business hours.
If you get only a few orders a week, this, set up well, is enough. Really.
When it's no longer enough
The chat stops being enough when one of these happens:
- You answer "how much is it?" many times a day.
- The price depends on sizes or quantities and you work it out by hand every time.
- You have dated deliveries and it's hard to know what's due each day.
It happens a lot in bakeries, print shops, upholstery, catering and signage. That's when it makes sense for customers to build their own order, see the price on the spot and send it to you complete.
What a complete order looks like
Instead of ten messages, one arrives with everything: what they ordered, how many, the price, the delivery date and their details. It's also logged in a sheet you can sort by date. You confirm, and that's it.
How I do it
My automatic orders and quotes work like this: the customer fills out a form with your products and prices, each order lands in your own Google Sheet, you get an email alert, and you confirm with one tap that opens the customer's WhatsApp with the message already written.
- Essential, $100: the form with your products, your sheet and the alerts.
- Professional, $180: all of that, plus a quote calculator that prices by size or quantity, and a morning email with what you have to deliver that day.
The first year is included and renewal is $30 a year. I don't promise more orders: I promise every order reaches you complete, with its price and date, and gets logged. You can place a sample order.
What you can do today: count how many times you answered "how much is it?" this week. If it's a few, set up WhatsApp Business quick replies and labels. If it's a lot, now you know where your time goes.
